Studio Operations Coordinator

Our client, an Entertainment Company, is looking to hire a Studio Operations Coordinator on a freelance basis for their gaming team, ASAP!

Location: Hybrid in Boston, MA

Duration: 6 months

Responsibilities
• Foster a work environment that supports exceptional game development by providing essential resources, infrastructure, and internal support.
• Partner with facilities and security to create a top-tier workplace, both in-office and remote, focusing on office design, health & safety, and administrative support.
• Collaborate with IT on cybersecurity, software rollouts, infrastructure updates, and hardware support for team members.
• Work with Production, HR, and Hiring Managers to ensure smooth onboarding and provide best practices for new hires.
• Lead operations projects, meetings, and priorities, ensuring follow-through on action items and keeping initiatives on track.
• Promote transparency and resource coordination across teams to share updates and escalate issues.
• Organize and ensure successful team events, following company guidelines for bonding and celebrating achievements.
• Manage studio lead’s calendar, scheduling meetings, trainings, and networking events.
• Handle domestic travel logistics, including scheduling, meeting details, and itineraries.
• Manage service tickets and tasks for assigned executives and teams.
• Reconcile expenses, complete reports, and provide guidance on company processes to team members.
• Process purchase orders and invoices events, construction, and ongoing facility's needs.
• Address unforeseen projects, issues, and troubleshooting within the role’s scope.


Qualifications:
• 5+ years’ experience working in an Office or Studio Operations and/or Executive Support role.
• Experience with Facilities Support and/or, Office Coordination, and Event Management highly desired.

Knowledge & Skills
• Consistent ability to focus on priorities – prioritization, problem solving, multi-tasking, and meeting project goals.
• Strong proficiency in Microsoft Office applications: Word, Excel, PowerPoint, and Outlook
• Strong organizational and time-management abilities

• Exceptional attention to detail as well as ability to see the big picture
