Executive Assistant

A global law firm with a growth-focused mindset and strong international presence is seeking executive assistants for their San Francisco office. One role will support corporate partners, while the other will assist litigation partners. These positions provide comprehensive administrative support to two to three senior executives and involve managing complex and high-volume calendars, travel arrangements, expense and billing management, document editing, and client communications. The roles also include handling administrative tasks, client engagement and development, and project work. Responsibilities:

  • Manage complex travel and calendars for two to three senior-level executives, coordinating client meetings and preparing necessary documentation in advance.
  • Liaise confidently with clients and their support staff, acting as a primary point of contact.
  • Draft, edit, and proofread documents and correspondence with a focus on accuracy, presentation, and attention to detail.
  • Perform general administrative tasks such as photocopying, printing, scanning, and handling telephone communications professionally and promptly.
  • Track and upload engagement letters and emails to ensure compliance, and assist with billing by preparing and editing client invoices.
  • Manage expense submissions and billing.
  • Maintain updated client contacts to support outreach initiatives and business development efforts.
  • Assist in producing marketing materials, client presentations, and pitches while contributing to business development strategies.
  • Support team objectives by collaborating with colleagues, sharing updates, and providing coverage when needed.
  • Work flexibly, supporting tasks outside core hours to meet deadlines or assist with client events.
  • Coordinate client events and ensure seamless communication with team members and line managers to maintain workload priorities.

Requirements:

  • Associate’s or bachelor’s degree required.
  • Three to five years of executive assistant experience within a global law firm, with corporate law or litigation support experience.
  • Advanced proficiency in Microsoft Office (Word, PowerPoint, Outlook, and Excel).
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills with the ability to interact at all levels.
  • Ability to handle sensitive and confidential information with discretion.
  • Independent problem-solver with strong prioritization skills.
  • Collaborative team player with a flexible and proactive mindset.
  • Adaptable to change and eager to broaden skills and experience.

Salary:

$110,000 - $125,000 base salary range with a comprehensive benefits and compensation package.
