Personal Assistant to CEO
A high-performing executive is seeking a polished, detail-oriented Personal Assistant to support him and his family across professional and personal domains. Based in Menlo Park, CA, this hybrid role offers a rare opportunity to become an essential partner to a dynamic leader and high-functioning household. *This is a hybrid role based in Menlo Park, CA. The assistant will work from the Menlo Park office and nearby residence four days per week. Wednesdays are in-office with the broader team in San Francisco.
Responsibilities:
- Calendar Architect: Manage complex, multi-time-zone calendars for both the CEO and family; proactively prioritize professional obligations, school calendars, personal appointments, and travel.
- Family Logistics Lead: Coordinate day-to-day schedules for family members, working closely with nannies, tutors, coaches, and school staff to ensure seamless support and communication.
- Travel Coordinator: Plan and manage domestic and international travel, including flights, accommodations, ground transport, and comprehensive itineraries for both business and family travel.
- Property & Vendor Oversight: Support operations across multiple domestic and international residences; liaise with vendors, oversee home maintenance, and manage special projects like renovations.
- Finance & Payments Manager: Track, categorize, and report on household and personal expenses; manage reimbursements and outgoing payments via Zelle, Venmo, and wire transfer platforms.
- Legal & Immigration Liaison: Assist with legal and immigration processes, including documentation for visas; coordinate with attorneys and ensure timely follow-through.
- Errands & On-the-Ground Support: Run occasional personal errands and transport items as needed; must be comfortable driving locally and managing logistical tasks in person.
Requirements:
- Minimum 3 years of experience supporting a C-level executive or high-net-worth (HNW) individual/family in a similar hybrid role.
- Exceptional organizational and time management skills, with a proven ability to juggle shifting priorities gracefully.
- Discretion, sound judgment, and high emotional intelligence.
- Proficiency in tools such as Google Workspace, and payment platforms like Zelle and Venmo.
- Experience coordinating international travel and operating across time zones is strongly preferred.
- Self-starter who anticipates needs and solves problems independently.
- Valid driver's license and reliable personal vehicle required.
- Mandarin Chinese fluency is a strong plus.
Salary:
$90,000 – $120,000
