Executive Personal Assistant

A high-growth, boutique communications firm is seeking a dedicated Executive Personal Assistant to the Founder & CEO to play a pivotal role in supporting a visionary leader across both professional and personal domains. This remote position, aligned to Eastern Time, offers a rare opportunity to become the right hand to a high-impact founder whose work spans strategic advising, writing, investing, and raising a young family across Pennsylvania, California, and New York. The ideal candidate is a systems-oriented, highly organized individual who thrives in fast-paced, high-touch environments. This is an exceptional role for someone seeking a long-term partnership—helping shape the daily operations and broader trajectory of a deeply influential leader and growing firm.


*This is a remote role with flexibility, but the ability to work Eastern Time hours is required.


Responsibilities
- Calendar Architect: Design and maintain weekly rhythms that support deep work, personal routines, and family time.
- Inbox Manager: Maintain a zero-backlog inbox; draft clear, brand-aligned responses on behalf of the Founder.
- Travel Coordinator: Plan and manage multi-city travel schedules, ensuring efficiency and attention to detail.
- Household Operations: Oversee home-related logistics including vendors, errands, and supplies across multiple locations.
- Experience & Event Planning: Coordinate high-touch dinners, private gatherings, client off-sites, and family events.
- Finance & Legal Liaison: Interface with accountants and attorneys; distill only the most important items for review.
- Health & Wellness Organizer: Schedule preventive care and manage key health-related information and records.
- Team & Project Management: Leverage and manage a small support team; recruit and oversee external specialists as needed.


Requirements
- Minimum of 5 years of experience as an Executive Assistant, providing high-level support to C-suite executives in any industry.
- Highly proficient in systems and tools including Google Workspace, Notion, ChatGPT, Slack, and other productivity platforms.
- Demonstrated discretion and judgment handling sensitive legal, financial, and personal information.
- Proven ability to anticipate needs, streamline operations, and minimize decision fatigue.
Calm, proactive energy and comfort working remotely with a distributed, high-expectation team.
- A long-term, growth-oriented mindset; someone looking to build trust and scale with the founder over multiple years.

Salary:
$125,000 – $200,000
