Accounts Receivable Specialist

Our client is an educational organization seeking an experienced Accounts Receivable Specialist to support daily financial operations, student billing, and year-end reporting. This role is hands-on and highly detail-oriented, requiring ownership of cash operations, reconciliations, tuition billing, and support of audits and financial aid processes. The position works closely with the Business Office and interacts regularly with families, requiring professionalism and strong customer service skills.

 

Key Responsibilities:

 

General Accounting

  • Manage daily cash and banking operations, including monitoring balances and initiating transfers and wire payments
  • Process all cash receipts, including electronic deposits and cash receipt journals
  • Perform monthly reconciliations for bank accounts, receivables, and multiple revenue streams (tuition, store sales, donations)
  • Reconcile donation and tuition data across financial systems to ensure data integrity
  • Oversee the full accounting cycle for pledges, including quarterly reconciliations and year-end adjustments
  • Track and record deferred summer school revenue
  • Prepare year-end tuition-related journal entries for financial statement presentation
  • Adjust discounts and allowances for pledges receivable at year-end
  • Assist with annual financial surveys and audit preparation (interim and final fieldwork)
  • Support the Business Office with additional accounting and finance projects as needed

 

Tuition & Supplemental Billing

  • Coordinate and process tuition and supplemental billing and collections using a student billing platform
  • Reconcile the student billing system to the general ledger on a monthly basis
  • Review and follow up on delinquent accounts monthly
  • Respond to parent inquiries regarding billing, enrollment contracts, and financial aid
  • Coordinate financial aid reimbursements for non-tuition expenses
  • Schedule financial aid committee meetings ahead of enrollment and financial aid cycles
  • Follow up with families regarding missing financial aid application information
  • Assist with ad hoc enrollment and financial aid-related tasks

 

Qualifications

  • Bachelor’s degree in Accounting, Finance, or a related field preferred
  • 4–5+ years of experience in accounting, bookkeeping, or finance
  • Prior experience in a non-profit or independent school environment strongly preferred
  • Experience with financial systems; familiarity with Blackbaud Financial Edge is a plus
  • Strong proficiency in Microsoft Excel, Word, and Google Workspace
  • Excellent attention to detail with strong organizational and multitasking abilities
  • Effective written and verbal communication skills
  • Ability to handle confidential and sensitive information with discretion and professionalism
  • Collaborative team player who thrives in a fast-paced, deadline-driven environment with a service-oriented mindset
