HR & Office Operations Coordinator

A highly successful creative agency specializing in large-scale brand experiences and immersive environments is seeking a high-energy HR & Office Operations Coordinator for their Brooklyn office.

The firm’s New York hub is a unique space that serves as both a corporate office and an active production shop. This role is the operational anchor for the NY team, supporting a corporate staff and a dedicated production crew. This is a "culture-first" position, ideal for a true people person who can bridge the gap between a professional office environment and a hands-on production floor.

Location: Brooklyn Onsite Hours: 9am – 6pm, Monday – Friday
Status: Full-Time, Non-Exempt (Hourly)

Responsibilities include (but not limited to):
• HR & Employee Admin: Managing the full employee lifecycle for NY—processing shop applications, coordinating interviews, onboarding, and maintaining records in strict compliance with NY State labor laws (Sick Leave, PFL, etc.).
• Culture & People: Acting as the "culture carrier"—organizing monthly team treats, celebrating birthdays, and managing employee recognition to keep morale high across both office and warehouse staff.
• Office Operations: Overseeing the day-to-day "vibe" and functionality of the office space; managing housekeeping vendors, ordering inventory, and ensuring all supplies are stocked.
• Payroll & Scheduling: Creating shop employee schedules based on event needs; submitting and approving payroll under the guidance of the HR department.
• Financial Tracking: Utilizing SAP Concur for expense reports, tracking recurring shop expenses (janitorial, dumpsters, supplies), and managing vendor COIs and billing.
• General Support: Providing light IT troubleshooting and administrative assistance to ensure the NY office runs seamlessly during busy event seasons.
Ideal Candidate:
• Experience: 4+ years in HR, office administration, or operations, ideally within a fast-paced agency, production, or warehouse environment.
• NY Compliance Knowledge: Strong understanding of New York labor laws and HR compliance requirements.
• The "Chameleon": You are as comfortable discussing benefits with corporate leads as you are coordinating with the warehouse crew; you are direct, transparent, and approachable.
• Systems Savvy: Proficient in Google Suite, Mac systems, and experience with SAP Concur (or similar expense tools).
• Grit & Professionalism: You have a "roll-up-your-sleeves" attitude and can manage multiple priorities in an active, industrial-creative setting.
